Challenge
A growing construction company runs a fleet of vehicles, heavy machinery and commodity stock. The knowledge of what is owned, where it is, what condition it is in and when inspections expire lived largely in one person's head and across scattered spreadsheets.
That created three problems: no single source of truth, real exposure to regulatory fines when vehicle and equipment inspections lapsed, and constant manual back-and-forth just to find out whether a piece of equipment was free.
Solution
cyllabs is building a conversational assistant that staff use like texting a colleague. They can ask about any asset, update records and book equipment, all in plain language. Every booking is checked for conflicts, the right people are notified by email automatically, and every change is logged for a full audit trail.
How it works
A plain-language request is interpreted into a structured query, run against the live asset database, and answered clearly. Updates need a two-step confirmation so nothing changes by accident, and bookings detect clashes before they happen.
What the build is designed to do
This is an active build with Swee Builders rather than a finished, measured rollout. It is designed to deliver a few clear outcomes:
One source of truth
Asset knowledge no longer depends on a single person or a stack of spreadsheets, so the whole team can reach it instantly.
Less regulatory risk
Keeping inspection dates visible and tracked reduces the chance of a lapse, and the fines that can follow one.
Less manual coordination
Finding, updating and booking equipment stops being a round of phone calls and messages, and becomes a single plain-language request.
